What is an HVAC Preventive Maintenance visit?

HVAC (heating, ventilation, and air conditioning) preventive maintenance is the scheduled service visit that keeps a commercial system running safely and efficiently between failures: filter changes, refrigerant charge checks, combustion safety testing, and electrical inspection. The practice draws on ENERGY STAR's Commercial Building Operations guidance, a public, voluntary program run by the EPA (Environmental Protection Agency), and on the maintenance scope described in ASHRAE (American Society of Heating, Refrigerating and Air-Conditioning Engineers) Standard 180, the industry's standard practice for inspecting and maintaining commercial HVAC systems. An HVAC technician performs the visit, EPA 608-certified if the unit holds refrigerant, typically quarterly or twice a year at the spring cooling and fall heating start-ups. The record documents what was done, what was measured, and what the equipment needs next.

This service record covers nine sections and 35 questions, 20 of them direct pass/fail checks, run by the technician unit by unit at each visit. Four items are flagged critical, all in the combustion-heating section: heat exchanger integrity, ambient carbon monoxide (CO) level, flue venting, and gas connection leaks. A cracked heat exchanger or a gas leak is a life-safety issue, not a maintenance note. It stops short of refrigerant recovery and charging logs, which are a separate EPA 608 record, along with load calculations and building-automation programming. The technician follows the unit's own instructions for equipment-specific steps.
